How to register online:

To register you have to complete all steps in the registration. When the registration is done you will receive a confirmation by e-mail.

On-line registration will open on 12 September 2025 and close on 11 January 2026. The Early Bird rate is available until November 30th 2025. 

Remember to write your name and organisation as you want them shown on your name badge.

Payment details are selected in the last step of the registration. All stated prices in the registration are excl. VAT. The VAT will be added at checkout.

VAT Information

The Swedish VAT (Value Added Tax) rules for a physical event imply that all delegates will be charged 25% VAT, but the VAT can be reclaimed in most cases (see info below). The VAT will be specified on the invoice. Hence, a valid VAT or tax registration number for your company/ organization must be provided with the registration.

For participants from outside Sweden, the following rules apply:

Within EU
A valid VAT number is mandatory, and it is important that your number is stated exactly according to EU standards. Further documentation must be provided on request. To validate your number before registering, please click here.

Outside EU
A valid VAT number or equivalent tax registration number is mandatory. Any further documentation should be provided on request.

Delegates from Sweden
For Swedish delegates, representing a Swedish legal person or organization, the VAT will be handled according to normal Swedish VAT rules.

People attending privately (not representing a taxable person)

Any person attending privately without representing a company/organization are required to pay VAT (25%) in addition to the registration fee.

How to reclaim Swedish VAT:

Within EU
For delegates representing a company/organization from an EU country, their company/organization can reclaim the VAT through an EU electronic mechanism. For this reason, a valid VAT-number must be provided with the registration. The rules applicable for other EU countries can be studied in this Swedish Tax Agency link.

Outside EU
For delegates from outside the EU, the possibility for their company/organization to reclaim VAT also exists. Also, in this case, a valid VAT number or equivalent tax registration number is mandatory. The rules can be studied on the Swedish Tax Agency website on VAT refund and the form for VAT return can be downloaded here. Local regulations in the participant’s country of residence may also apply in addition to the Swedish VAT rules.

Booking Terms and Conditions

Participation Fee: Cancellations made on or before November 30th 2025, will be accepted, subject to an administrative charge of SEK 500 excluding VAT. Regrettably, cancellations received after this date will not be eligible for a refund. However, in the event of an inability to attend, the registration may be transferred to a colleague upon payment of a SEK 500 administrative fee per change excluding VAT. From January 11th 2026 and onwards, no name changes will be accepted. Notification of substitution should be made in writing to support@meetagain.se.

Accommodation: Reservations for accommodation may be canceled if done on or before January 3rd, 2026. Please note, there is an additional cost of 500 SEK excluding VAT. No refunds will be issued for cancellations made after this date. Non-arrivals or no-shows are handled as late cancellations. All cancellations and name changes must be communicated in writing. Payment Terms

Payment Options
We accept payments via credit card (VISA or Mastercard) and by invoice. Please note that the invoice payment option will be closed closer to the event.

Payment by Credit Card
Our transactions are processed using Stripe’s Payments platform, supporting a range of credit and debit cards, along with various global payment methods. Transactions will appear on your statement as “Meetagain AB”. Our system adheres to the 3D Secure protocol, collaborating with banks to enhance online payment security. It is essential that your card is registered with Verified by Visa or Mastercard SecureCode and is enabled for international payments or has pre-set limits for the same day transactions.

Payment by Invoice
Payment can also be made by invoice sent to the billing address provided at the time of booking. If the recipient is an organisation or company within the nordics, the invoice will primarily be issued as an e-invoice.

It is the responsibility of the person making the booking to provide the correct invoice address. If an invoice needs to be readdressed, an administration fee of SEK 200 (excluding VAT) will be charged.

A reference (such as department, account code, recipient code or cost centre) can be included on the invoice if required. 

Unexpected Cancellation of the Event or Impossibiliy to Hold it

In the unlikely case that the Congress cannot be held in whole or in part due to any event beyond the Organisers’ control or force majeure such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of any government, war, terrorism etc. the Meeting Organisers cannot be held liable for any damages, costs or losses incurred, such as registration fee, transportation and accommodation costs, or any other direct or indirect loss or consequential damage. The Organization encourages participants to take out their own insurance for the duration of their stay.
